This policy explains what personal information we collect, why we collect it, who we share it with, and the choices you have.
Who we are
Akima Studio is a website design and UX studio based in Australia. In this policy, “we”, “us” and “our” mean Akima Studio, and “you” means anyone who visits our website, contacts us, responds to our ads or works with us.
We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).
What we collect
Contact details: your name, email address, phone number, business name and role.
Business and project details: your website address, what your business does, what you want from your website, and anything you tell us in our forms or questionnaires.
Project access and materials: access to your website, CMS, analytics or ad accounts, and any files or content you share with us. We only use this access to do the work you’ve asked for.
Call notes: notes from our calls with you. We may use a transcription tool to help take them. If you’d rather we didn’t, just tell us.
Billing details: your billing name, business details and payment history. Card payments are handled by our payment provider, and we never see or store your full card number.
Website and ad data: when you visit akima.studio or interact with our ads, cookies and similar tools may record the pages you view, the ad you clicked, your device and browser, and your approximate location.
We don’t need sensitive information, such as health information, and we don’t ask for it.
How we collect it
From you, when you fill in a form on our website, email, call or message us, or book a call.
Through Facebook and Instagram, when you submit a lead form in one of our ads. Meta passes on the details you entered.
From people who refer you to us, such as a partner who introduces your business.
From public sources, such as your website or business listings, when we prepare a proposal or audit.
Automatically, through cookies and similar technology on our website.
Why we use it
To reply to your enquiry and give you a quote.
To deliver the work you’ve asked for, such as a website audit, design or build.
To send you contracts, invoices and project updates.
To measure and improve our website and ads, including showing Akima ads on Facebook and Instagram to people who have visited our site.
To send you occasional emails about our work, only if you’ve agreed. Every email has an unsubscribe link.
To meet our legal, tax and accounting obligations.
We don’t sell your personal information, and we won’t use it for an unrelated purpose without asking you first.
Cookies, the Meta Pixel and analytics
Our website uses cookies and similar technology to understand how people use it and how our ads perform. This may include website analytics and the Meta Pixel. The Meta Pixel lets Meta connect visits to our site with Facebook and Instagram accounts, so we can measure our ads and show them to relevant people. Meta handles that data under its own privacy policy.
You can block or delete cookies in your browser settings, and you can control how Meta uses your information for ads in your Facebook or Instagram ad preferences. Our website still works if you block cookies.
AI tools
We use AI tools to help us research, write, analyse and organise our work. Information you share with us, such as project details or call notes, may be processed by these tools. We use established providers, and we only give these tools the information a task needs.
Who we share it with
We only share personal information with people and services that help us run Akima Studio, and only what they need to do their job:
Service providers for email, documents, file storage, project management, meeting notes, video, website hosting, forms, contracts, payments, accounting and AI tools (for example Google Workspace, Notion, Framer, Loom and Xero).
Meta, for advertising and lead forms.
Contractors who help on your project and have agreed to keep your information confidential.
Professional advisers, such as our accountant or lawyer.
Government or law enforcement bodies, but only where the law requires it.
Storing information overseas
Some of our service providers store data outside Australia, mainly in the United States and sometimes in other countries where they run data centres. We take reasonable steps to make sure these providers protect your information.
Keeping it safe
We store information in password-protected accounts, use two-factor authentication where it’s available, and limit access to the Akima team and the people working on your project. No system is completely secure, but if a data breach is likely to cause you serious harm, we’ll tell you and, where required, the Office of the Australian Information Commissioner (OAIC).
We keep personal information only as long as we need it for the reasons above. We keep financial records for five years, as Australian tax law requires. After that, we delete or de-identify it.
Your choices
Access: you can ask what personal information we hold about you.
Correction: you can ask us to fix anything that’s wrong or out of date.
Deletion: you can ask us to delete your information, unless the law requires us to keep it.
Marketing: you can unsubscribe from our emails at any time.
Anonymity: you can browse our website and ask general questions without telling us who you are. We’ll need your details to quote or work with you.
To make a request, email hello@akima.studio. We may need to confirm your identity first. We’ll respond within 30 days, and there’s no charge.
Complaints
If you think we’ve mishandled your personal information, email hello@akima.studio and tell us what happened. We’ll look into it and reply within 30 days. If you’re not happy with our response, you can contact the OAIC at oaic.gov.au or on 1300 363 992.
Changes to this policy
We may update this policy when our business or the law changes. The latest version will always be on this page, with the date it was last updated.
